Terms and Conditions

These Terms and Conditions (“Terms”) govern your access to and use of the services provided by Provider Billing and Coding (“Company,” “we,” “us,” or “our”). By accessing or using our services, you agree to comply with and be bound by these Terms. If you do not agree, you should not use our services.


1. Acceptance of Terms

By entering into a service agreement, accessing our website, or utilizing our billing and coding services, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.


2. Scope of Services

Provider Billing and Coding provides medical billing, coding, credentialing support, claims submission, revenue cycle management, and related administrative services on behalf of healthcare providers.

You agree to:

  • Provide accurate and complete information necessary for billing and claims processing

  • Maintain compliance with applicable healthcare laws and regulations

  • Cooperate in a timely manner with requests for documentation or clarification

By agreeing to receive messages from Provider Billing and Coding, you understand that message frequency may vary and message/data rates may apply. Reply STOP to opt out of text communications.


3. Client Responsibilities

Healthcare providers are responsible for:

  • Ensuring accuracy of clinical documentation

  • Compliance with federal and state regulations

  • Proper supervision of services rendered

  • Timely submission of required documentation

Provider Billing and Coding is not responsible for claim denials resulting from incomplete, inaccurate, or untimely documentation supplied by the client.


4. Payment and Fees

  • Fees for services will be outlined in a separate service agreement or contract.

  • Payment terms must be honored as agreed upon in writing.

  • Late payments may result in service suspension or termination.

  • The Company reserves the right to charge late fees where permitted by law.


5. No Clinical, Medical, or Legal Advice

Provider Billing and Coding provides administrative and billing support services only. We do not provide medical, clinical, or legal advice. Providers remain solely responsible for patient care, diagnosis, treatment decisions, and legal compliance.


6. Limitation of Liability

To the fullest extent permitted by law:

  • Provider Billing and Coding shall not be liable for indirect, incidental, special, consequential, or punitive damages.

  • We do not guarantee reimbursement amounts, claim approvals, or payer processing timelines.

  • Services are provided “as is” without warranties of any kind, express or implied.


7. Confidentiality and Compliance

We maintain safeguards consistent with applicable privacy and security regulations, including HIPAA. Both parties agree to maintain the confidentiality of protected health information and sensitive business data.

Where applicable, a separate Business Associate Agreement (BAA) will govern HIPAA obligations.


8. Intellectual Property

All content, materials, processes, templates, software configurations, and branding associated with Provider Billing and Coding remain the exclusive property of the Company. No materials may be copied, modified, distributed, or reproduced without written permission.


9. Termination

We reserve the right to suspend or terminate services if:

  • A client violates these Terms

  • Required payments are not made

  • Unlawful or fraudulent activities are identified

  • There is non-compliance with applicable regulations

Termination procedures and notice requirements may be further defined in the service agreement.


10. Modifications to Terms

We reserve the right to update or modify these Terms and Conditions at any time. Continued use of our services after changes are posted constitutes acceptance of the revised Terms.


11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the state in which Provider Billing and Coding is registered, without regard to conflict of law principles.
